We are seeking a highly organised and professional Executive Assistant - Corporate Relations to support our Director in high-level corporate engagements. This role involves coordinating and accompanying the Director on visits to corporate departments, with a focus on five-star hotels and luxury venues. The ideal candidate will excel in managing logistics, facilitating business discussions on beverage partnerships, and ensuring seamless execution of meetings to drive growth in our beverage portfolio. This position requires discretion, poise under pressure, and a passion for the hospitality and beverages sector. The role reports directly to the Director and offers opportunities for travel and exposure to elite industry networks. Key Responsibilities and Logistics Coordination: Plan and manage all aspects of the Director's visits to corporate departments, including scheduling appointments, booking transportation, accommodations, and reservations at five-star hotels. Meeting Facilitation: Accompany the Director to client meetings, prepare agendas, briefing materials, and presentation aids focused on beverage business proposals, partnerships, and negotiations. Client Relationship Management: Act as a liaison between the Director and corporate stakeholders, handling pre- and post-meeting communications to nurture relationships and follow up on action items. Administrative Support: Maintain the Director's calendar, manage confidential correspondence, and prepare reports on beverage market trends, competitor analysis, and meeting outcomes. Event Coordination: Assist in organising corporate events, tastings, or networking sessions at luxury venues to promote our beverage offerings. Documentation and Reporting: Record minutes from discussions, track business opportunities, and contribute to quarterly reports on corporate engagement progress. Discretion and Protocol: Uphold the highest standards of professionalism, confidentiality, and etiquette during interactions with high-profile clients in upscale environments. Qualifications and Requirements Education: Bachelor's degree in Business Administration, Hospitality Management, Marketing, or a related field. Experience: Minimum 3-5 years in an executive assistant, secretarial, or corporate liaison role, preferably in the beverages, hospitality, or luxury goods industry. Skills: Exceptional organisational and multitasking abilities with proficiency in tools like Microsoft Office Suite, Google Workspace, and CRM software (e.g., Salesforce). Strong communication skills, both verbal and written, with the ability to draft professional emails, proposals, and summaries. Knowledge of beverage industry trends, including wine, spirits, and non-alcoholic options, is highly desirable. Comfortable with frequent travel (domestic and international) and working irregular hours as needed for client visits. Discreet, detail-oriented, and adaptable to fast-paced, high-stakes environments.
